Overall Job Objective:

• Assists Trade Book Project Manager with everyday operations supporting Heinemann products with trade components.

• Assists in purchasing trade components and kitting services ie. the manufacturing and corrigenda services of paper, print, bind, duplication, and composition of books and packaging.  Monitors reprint schedules to meet predetermined cost, schedule, and quality standards on an ongoing basis.

• As specific reprints arise, enters and updates legacy data in Product Planning and Management System to include trade title lists for active products, inventory status, vendor assignments, and vendor contact information. Liaises regularly with multiple departments to ensure the integrity of this data.


Responsibilities and Duties, Reports to Trade Book Project Manager:

• Regularly review status reports from vendors to ensure stock needs and reprint schedules are met. Works closely with Inventory Analyst to maintain appropriate stock levels and facilitate communication with Heinemann's warehouse.  Works with the entire Manufacturing team to assist with print manufacturing solutions and vendors.

• Solicits competitive manufacturing bids to meet project specifications and company financial goals.  Pre-schedules projects with appropriate vendors and places purchase orders to meet company due dates.

• Primary contact for booklists identifying what trade titles are in products.  Works with Production, Editorial, Sales, and vendors to verify information as needed.  Maintains a database of titles and where used.   

• Compiles manufacturing title cost estimates for reprints and maintains electronic files with this information. 

• Prepares purchase orders and monitors project schedules on a daily basis. Supplies information to staff as needed on schedules.

• Approves proofs and advance copies and informs vendors of approval to ship.

• Checks, approves, and codes vendor invoices, forwarding to Supervisor and management for signoffs then submitting to Accounting for processing.

• Attends in-house meetings, meets and negotiates with vendors, and assists Trade Book project Manager as needed.  



Solid communication and problem-solving skills. Ability to multi-task, identify potential manufacturing issues, prioritize workload, and alert the Trade Book Project Manager for assistance as needed with concerns. Detail oriented. Travel as needed to vendor facilities, publishing houses, conferences, and seminars as needed.


Minimum Knowledge Required:

Knowledge of multi-color and one-color book, component, docutech/digital, and media manufacturing, prepress, and printing. Inventory knowledge a plus.

Experience (years): Two years as a book-manufacturing buyer, preferably in the educational publishing market.

Technology/Software Skills: PC computer skills, proficiency in MS Office, Adobe Acrobat, and other current business software tools. Ability to learn, navigate, and help develop proprietary company software.


Physical Requirements:

• Might be in a stationary position for a considerable time (sitting and/or standing).

• The person in this position needs to move about inside the office to access file cabinets, office machinery, etc.

• Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

• Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
