Events Specialist

Successfully plan and coordinate Heinemann presence at conferences, exhibits, customer-facing events. Collaborates with internal teams to develop and implement events strategy. Develop strong relationships and foster collaboration with sales, marketing, and other functional internal and external partners.

 

Job Responsibilities – National and Regional Conferences, Awareness Events, Author Events

  • Working with Sales Enablement Manager and Area Sales Directors (ASDs) to develop and execute annual National conference strategy
  • Develop a yearly conference schedule based on Heinemann’s branding/Publication Relations (PR) objectives
  • Responsible for all aspects of event management; pre and post planning, maintaining registration, sourcing venues, monitoring budget, and consolidating event metrics to evaluate Return on Investment (ROI)
  • Manage schedule, budget, contracts, deadlines and execute admin/logistics for national and regional conferences  
  • Coordinate logistics from signing up for conferences, ordering event services, processing book orders, tracking shipment, to reconciling sales and returns to the warehouse post-event
  • Partner with 3rd party vendors to secure hotel/venue contracts for meeting/function rooms, food and beverage functions, and audio/visual equipment
  • Collaborate with Product Owners/Marketing and other key stakeholders to develop execution plan for key conferences and events for booth layout and to support brand management and profile raising through events, exhibits, and sponsorships
  • Manage incoming author speaking engagement that requires sales/exhibit service; communicate with sales staff to secure coverage
  • Working with Director of Curriculum and Content and maintain the calendar of awareness events and district presentations for the National Content Specialists/Implementation Specialists
  • Work on special events, such as author events and brand awareness events with product managers, author management teams, as appropriate, to assist in key territories to increase brand awareness
  • Maintain events budget, contracts, food/beverage/tech needs
  • Provide conference and workshop sales coverage as needed.
  • Ensure HMH policies and procedures are adhered to in the development and execution of conferences/events

 

Other Requirements:

  • High school diploma or GED
  • Strong attention to detail and strong organizational skills
  • Current relevant event management experience, 1 – 2 years
  • Exceptional negotiation skills 
  • Excellent written and verbal communication skills 
  • Ability to recognize problems and to take appropriate actions toward solutions 
  • High degree of computer literacy and proficiency in Microsoft Office suite 
  • Self-motivated individual who is able to work alone or as part of a team 
  • Ability to work on multiple projects simultaneously without missing deadlines
  • Proven aptitude for creative thinking with attention to detail within demanding deadlines 
  • Some travel expected (approx. 20-30%)

 

Physical Requirements:

  • Might be in a stationary position for a considerable time (sitting and/or standing).
  • The person in this position needs to move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
