HMH is seeking an experienced Vendor Master & AP Tax Specialist to support Vendor Master operations and AP tax compliance. This position requires strong hands-on SAP ECC Vendor Master experience and demonstrated knowledge of 1099, 1042-S, and Puerto Rico tax requirements.

The ideal candidate should be capable of reviewing vendor documentation, setting up and maintaining vendor records accurately, understanding the tax impact of vendor classifications, and identifying issues with tax documentation before vendor records are established or updated.

 

Key Responsibilities

 

Vendor Master Management

 

  • Create, maintain, and update vendor master records in SAP ECC.
  • Review vendor requests for completeness and accuracy before creating or changing vendor records.
  • Perform duplicate-vendor searches prior to establishing new vendors, consistent with HMH's documented process.
  • Maintain accurate vendor tax information, payment information, addresses, and other required master-data fields.
  • Review supporting documentation for domestic, international, and Puerto Rico vendors.
  • Understand Vendor Master controls, segregation of duties, and audit requirements.
  • Work with internal HMH contacts to resolve incomplete or inaccurate vendor setup requests.
  • Support vendor master data validation, cleanup, and reporting.

 

1099 Tax Responsibilities

 

  • Strong working knowledge of U.S. 1099 reporting requirements.
  • Review vendor tax classification and documentation to help determine appropriate 1099 treatment.
  • Understand W-9 requirements and TIN/EIN information.
  • Review Vendor Master tax data for accuracy and completeness.
  • Assist with 1099 preparation, validation, discrepancy research, corrections, and year-end reporting.

 

1042-S / Foreign Vendor Responsibilities

 

  • Strong working knowledge of 1042-S reporting and foreign vendor documentation.
  • Experience reviewing W-8 series forms and understanding their relationship to vendor setup and tax reporting.
  • Identify vendors that may require additional review based on their foreign status and tax documentation.
  • Assist with 1042-S validation, research, reconciliation, and reporting.

 

Puerto Rico Tax

 

  • Strong knowledge of Puerto Rico vendor tax requirements and 480-series reporting.
  • Review applicable Puerto Rico vendor documentation.
  • Support PR tax validation, reporting, reconciliation, and discrepancy resolution.
  • Understand the relationship between vendor setup, withholding/tax classification, and year-end reporting.

 

Required Qualifications

 

  • Strong hands-on experience with SAP ECC Vendor Master is required.
  • Demonstrated experience creating and maintaining vendor master records in SAP.
  • Strong hands-on knowledge of 1099 reporting.
  • Strong knowledge of 1042-S and foreign vendor tax documentation.
  • Experience with Puerto Rico tax requirements and 480-series reporting.
  • Experience reviewing W-9 and W-8 series forms.
  • Strong understanding of vendor tax classifications and master-data requirements.
  • Working knowledge of Accounts Payable processes.
  • Strong analytical and problem-solving skills.
  • High attention to detail and ability to maintain accurate master data.
  • Ability to research and resolve vendor and tax discrepancies.
  • Strong written and verbal English communication skills.
  • Ability to work effectively with a U.S.-based Accounts Payable team.
  • Strong Excel skills.

 

Preferred Qualifications

 

  • Experience working in a shared-services or global finance environment.
  • Experience supporting a U.S.-based company from India.
  • Experience supporting year-end AP tax reporting and reconciliation.
  • Familiarity with internal controls, audit requirements, SOX, and segregation of duties.
