What you’ll do

 

The Payroll Specialist reports to the Director of Payroll and will process payroll for multiple employee departments. This will entail responsibility for check distribution, collection and reconciliation of time and attendance, and input and verification of employee pay data changes.

 

Primary Responsibilities:
Accurate and timely processing of payroll for multiple departments in bi-weekly payroll environment. 
Payroll processing accountabilities will include:
Uploading payroll template files.
Input of W-4 information.
Staying in compliance with tax and labor laws.
Garnishments.
Balancing payroll files and reports.
Year-end processing, including W-2 balancing and auditing data.
Calculating manual checks.
Monitoring the Payroll email in box and resolving Tier I and Tier II employee inquiries.
Following standard protocol for data entry into and reporting from HR systems.
Learning standard protocols, procedures and systems across the spectrum of payroll activities.
Other duties as assigned.

 

Required skills
Technical

  • Intermediate knowledge of Microsoft Excel.
  • Knowledge of ADP's Enterprise sufficient to process payroll via standard protocol.
  • Knowledge of ADP's Reporting tool sufficient to execute payroll and HR queries.
  • Systems knowledge required includes: eTime, ADP Enterprise.

 

Payroll

  • Ability to proactively identify payroll issues and suggest solutions
  • Knowledge of how to manually calculate a payroll check
  • Intermediate knowledge of Federal, State, and Local tax requirements throughout the US.  (HMH is in all 50 states.)

 

Behavioral

  • Excellent communication skills sufficient to appropriately manage contact with employees.
  • Must be organized, detail-oriented and deadline driven.
  • Ability to handle highly confidential information in a professional manner.

 

Education & Experience:

  • High School Diploma required.
  • Experience sufficient to demonstrate the above competencies; typically gained through at least three years of payroll processing in multi-state environment.
  • Two years of experience specifically with ADP Enterprise, Reporting and Portal.

 

Physical Requirements:

  • Might be in a stationary position for a considerable time (sitting and/or standing).
  • The person in this position needs to move about inside the office to access file cabinets, office, etc.
  • Constantly operates a computer.
  • Must be able to collaborate with colleagues via face to face, conference calls, and online meetings.
