The Senior Proposal Specialist serves as the RFP proposal manager, guiding the preparation and submission of all proposal and/or response materials. It is the responsibility of the Senior Proposal Specialist to maintain schedules, organize resources, coordinate inputs and reviews, ensure bid strategy implementation, ensure compliance, and providing process leadership. Senior Proposal Specialist takes ownership of all RFP requirements and subsequent proposal deliverables, from receipt of the RFP through proposal completion and award follow-up.
The Senior Proposal Specialist is responsible for implementing HMH’s processes for the development and submission of proposals. For each assigned RFP/RFI, the Senior Proposal Specialist must coordinate the activities necessary for the successful completion and submission of that proposal, including identifying RFP/RFI requirements and structure, organizing and conducting discussion calls, sharing information regarding timeline and deliverables, and ensuring that process deliverables are completed.
- The Senior Proposal Specialist must also facilitate expectation management, surface issues, and communicate across teams.
- Conduct discussion calls for Bid/No Bid decisions with representatives from sales, finance, writers, and subject matter experts.
- The Senior Proposal Specialist also communicates with sales and districts to ascertain proposal award status, and records tracking information to inform trend and other reports.
- Analyze RFP/RFIs to identify special requirements, terms, and conditions, escalating as needed. Ensure execution and approval of proposals and contract documents by appropriate parties, record contract terms in company databases, and archive final proposals and executed contracts according to company policy.
- Establish and maintain positive working relationships with internal and external customers.
Education Level and or relevant experience:
• A minimum of five years of experience in Proposal Management
• BA or BS degree (preferred in related fields such as Business, Accounting, Finance)
• Technical (software, platform, and methodologies): MS Office, Adobe Pro, Qvidian, SFDC
• Excellent management and interpersonal skills, with an ability to work as an individual contributor and team player
• Experience managing team members: Manage a group of proposal contributors, e.g., writers, subject matter experts, and finance. Also, will work with district/state DOE procurement and curriculum experts
• Experience in: RFP/Proposal Management
Knowledge and skills:
• Understanding of K-12 educational curriculum
• Ability to handle multiple projects simultaneously under very tight deadlines
• People skills needed to lead all internal team calls related to each RFP assigned and clearly communicate responsibilities and due dates to all contributors
• Must be able to gather, analyze, summarize and prepare recommendations related to regulatory requirements for assigned opportunities.
• Ability to develop workflows to meet deadlines, flexibility, ability to organize and shift priorities as necessary.
• Strong written and verbal communication skills.
• Expertise on law governing contract drafting and management is necessary and should be equipped to converse in the legislative and industrial aspect of RFPs and proposals in a timely and professional fashion
Salary Range:
$65,000 - 85,000
